Sonar overview

This article explains how to interpret and use the two views of the Sonar module.

1️⃣ Partners Tab

In this view, you’ll find all the external domains with which your employees have shared documents.

For each partner, the following information is available:

  • Information: Company description, industries, and compliance details (automatically enriched).

  • Status: Pending Review / Active / Revoked.

  • Risk: Low / Medium / High, assessed based on several criteria, including the volume and sensitivity of shared documents, as well as the partner’s level of compliance with major standards (GDPR, ISO 27001, SOC 2).

  • Owner: The employee identified as the main owner of the shared documents (can be manually edited).

  • Shared Documents: A consolidated list showing the internal employees who shared documents and the external recipients.

👍🏼 Good to know:

  • You can revoke all of a partner’s access with a single click.

  • You can revoke specific files or folders from the “Shared Files” view.

  • A partner’s risk level is automatically recalculated after each action.

  • You can filter the view by partner type (Individuals or Organizations) or by status.


2️⃣ Employees Tab

The Employees view allows you to track the situation employee by employee.

For each employee, you’ll find the following information:

  • The number of public files.

  • The critical information shared.

  • The list of partners with whom documents have been shared.

👍🏼 Good to know:

  • “Super-sharers” (employees who share a large number of documents) are easy to identify so they can be proactively supported.


3️⃣ Albert’s Automatic Requests

Albert helps your employees manage their document sharing by regularly sending them validation requests:

  • Each week, an employee receives a maximum of 5 documents to review.

  • For each document, they must either validate the sharing by providing a justification or revoke access.

    → The employee’s justification will appear in the partner’s “Action tracking” tab.

  • All documents are automatically re-validated every 6 months.

There are two types of requests:

  • Those related to public files (actionable in the Employees view)

  • Those related to external partners (actionable in the Partners view)

👍🏼 Good to know:

  • Reminders are sent progressively to avoid overloading employees.

  • Admins can send a priority notification by clicking “Collect team feedback” from a partner’s or employee’s panel.

  • Admins maintain a global view of validations and revocations, while employees only see their own documents.
