Set up and modify your Multi-year Program

This article explains how to manage and customize your multi-year awareness program in a progressive way, tailored to the level of your employees.

1️⃣ Definition

What is a multi-year awareness program?

A multi-year program allows you to:

  • Instill the right reflexes over time

  • Monitor and maintain your teams’ engagement in the long run

  • Adapt to new threats (deepfakes, AI, targeted phishing, etc.)

📌 It is a structured training path by year, with automated reminders and clear tracking.

2️⃣ Set up your multi-year program

You can structure, customize, and automate your program by following these steps:

👉 Organize your courses by year

  • Click on Edit Program :

  • Use the “+” button to add a new year (up to 5 years)

  • Then click on Publish Changes :

👍 Good to know : A year at Riot, it's 365 days after the employee receives its first course !

👉 Add multiple versions of the same course : ⚡ Lightning Courses

Some courses are marked with the ⚡ symbol : this means they offer multiple versions, which are automatically assigned from year to year.

If you'd like to preview the different version, you can send the course to yourself using the Share Course option :

👍 Good to know : The Share option can be super useful if you want to test a course !

  • It allows Admins or employees to preview training modules without officially adding them to the program

  • Metrics for test shares are not tracked in the program dashboard or reports

  • Users participating in a test share may need to retake the course if it becomes part of the official program rollout.

👉 Test delivery across different channels

You can send a course to yourself before launching it broadly via:

  • Slack

  • Teams

  • Google Chat

  • Web

👍 Good to know : The Web channel opens the course directly in a new tab — perfect for a quick test !

👉 Precisely target your audiences

You can adapt your audience for all of the courses.

To do that :

  • Click on a course > Details > Edit > select the right audience

  • This section allows you to view and adjust the targeted individuals or groups, tailoring participation as needed.

  • This ensures alignment with program goals and accurate tracking of metrics.

  • You can target all employees, specific groups, or based on behavior (e.g. haven’t activated 2FA yet)

👉 Deadlines and automatic reminders

  • Each course has an associated learning deadline:

    • First week

    • First month

    • Before the end of the year

  • Each course is marked with a color badge to indicate its status:

    • 🟢 Completed

    • 🔴 Overdue

    • Not started

    • Nothing : employee is not in the audience of the course

👉 Modify the courses with ⚠️ signal

You can personnalize some courses, to be more relevant for your employees and for your needs.

Click on a course > Settings > do all the modifications

👉 Enable automatic program delivery

Once your program is exactly how you want it and you’ve communicated about it, launch it !

The program will then be automatically sent out via the selected channels !

  • Set up your multi-year program at the beginning of your subscription.

  • Communicate about Albert : Really important for its adoption by employees.

  • Target Groups Strategically: Apply audience filters to prioritize relevant employees for specific training.

  • Monitor Reporting Metrics: Regularly review program dashboards to evaluate and optimize participation and engagement.
