Reminders and notifications of Inbox

This article explains how reminders and notifications are sent automatically by Riot to your employees.

1️⃣ Definition:

Automatic reminders and notifications are used to:

  • Inform employees that their reported email has been received

  • Notify employees when their reported email has been processed

  • Follow up with employees who have not used the hotline

These messages are sent directly through the communication channel defined in the platform (Slack, Teams, Google Chat, or email, depending on your organization’s configuration).

2️⃣ Acknowledgment Notification

👉 Option 1: The email is an external email

👉 Option 2: The email is a phishing email from a Riot's campaign

👍 Good to know: The acknowledgment notification is only available when using the Riot Phishing Reporter button.

3️⃣ Post-Processing Notification

Riot automatically notifies employees who reported an email as soon as it has been sorted by the admin or by AI.

You can disable this option if needed in the “Inbox” module settings.

4️⃣ Automated Reminders

You can set up periodic reminders about the hotline (for employees who have not used it yet).

Configuration:

Go to the “Inbox” module settings, then to the “Reminders” section. You will be able to:

  • Enable or disable reminder notifications

  • Choose the sending frequency:

    • Monthly

    • Quarterly (default)

    • Annually

👍 Good to know: We adapt the communication according to the chosen reporting method. If you have not implemented the “Phishing Reporter” add-in, we will only highlight the exotic address or the alias.
