Sync my employees

This article explains how to synchronise your employees between your tenant and your Riot platform.

1️⃣ What is the purpose of synchronisation?

👉 There are several advantages to syncing your employees. You can:

  • Retrieve the complete list (or only certain groups) of your employees in real time

  • Retrieve the architecture and managerial organisation of your space (or of certain groups only)

  • Connect using SSO to make the experience more fluid

  • The ability to synchronise information automatically without having to log in

  • Control the communication channel used by Albert (Slack, Microsoft > Teams, Google > Google Chat).

👉 What information is collected during synchronisation?

  • The employee's preferred language

  • Time zone

  • The manager

  • Membership groups, provided that synchronisation is activated. See "Groups Section ’ in the yellow box at the bottom of the page.

👉 Which interfaces can you synchronise with?

  • Google

  • Microsoft

  • Slack

  • Okta

If you don't have one of the workspaces listed above, you can import your collaborators using a CSV file or manually one by one. *We'll go through the steps in more detail later in this article.

2️⃣ How do I synchronise my employees?

👉 Steps to follow to synchronise your space.

  1. Go to the Settings tab > Workforce

  2. Click on ‘Connect’ to link your workspace

  3. Use your admin account to complete the synchronisation

  4. Activate (recommended) or deactivate auto-sync, depending on your preference between regular automatic synchronisation or manual synchronisation only.

  5. Set the default language - this will only apply to employees whose language is not specified in the Workspace/AD

👍 Good to know: We recommend to fine-tune your synchronisation. Once synchronisation is complete, click on Configure . Employees and Groups sections are independent of each other.


You can synchronise all your employees without synchronizing the architecture of your space. Similarly, you can synchronise some of your employees but all the existing groups in your workspace.


👉 In the ‘Employees’ section: you can choose between several options

  • Synchronise all the employees in your holding

  • Synchronise only the employees in the selected groups

We recommend to create a group dedicated to Riot in your tenant, excluding generic addresses and/or people not concerned by the modules.

  • Synchronise all employees EXCEPT those in selected groups

👉 In the ‘Groups’ section: you can choose whether or not to activate the following options

  • Synchronise all the groups in your holding or only those selected

  • Synchronise organisational units

You can use groups to divide your employees by team, division, site, etc. This targeting is useful both for sending content (phishing, courses) and for studying indicators (completion rates, etc.).

If you have a very large number of groups but only a few will be affected by the Riot solution, enable the ‘Only synchronise specific groups’ option.

3️⃣ I have an On Premise solution

  1. Go to the Team menu

  2. Click on ‘Add an employee’ at the top right of your screen

  3. You can add employees one by one by entering: first name, last name and email address.

Recommended: To add several employees and integrate additional fields (language, team, groups, manager...), select the ‘Import from CSV’ option.

→ Tip: download the sample CSV to match the format and fill in the necessary fields.
