Changing my employees' time zone

Understand where your employees' time zone comes from and how to correct it, so that courses, reminders and simulations arrive at the right time.

👍 Good to know: each employee's time zone determines when Riot contacts them:

  • Albert's courses, reminders and notifications;

  • Simulation attacks;

  • Cyber Mission notifications.

These messages are sent during working hours, from 9am to 6pm in the employee's time zone. With the wrong time zone, an employee based in Singapore could receive their course in the middle of the night.

💡 Prerequisites: you must be an Administrator of your Riot workspace and be logged in to hub.tryriot.com.

❶ Where does your employees' time zone come from?

Riot does not ask you to enter each employee's time zone: it retrieves it when your directory is synchronised. What is sent depends on the tool you have connected:

  • Microsoft: Riot uses the time zone set for each user in your Microsoft tenant.

  • Slack: Riot uses the time zone entered in the employee's Slack profile.

  • Google Workspace: Google does not send a time zone. Changing it in Google will therefore have no effect in Riot.

👉 What if no time zone is sent?

Riot then applies your workspace's default time zone. It is set when the workspace is created, based on the time zone of the person who created it. It cannot be changed from your admin workspace: if yours is incorrect, contact our support team.

👍 Good to know: if you synchronise several tools (for example Google Workspace for your employees and Slack for Albert), the time zone shown may come from Slack. Check the employee's Slack profile, or set the time zone with a group (see ❷).

❷ Setting a time zone for a group of employees

This is the recommended method, whatever tool you synchronise, and the only one that works with Google Workspace. You assign a time zone to a group: all its members, including those who join it later, then use that time zone.

👉 Step 1: Go to Team > Groups

👉 Step 2: Open the relevant group, for example a group per country or per site, then click Edit.

👉 Step 3: Go to the Set member attributes section.

👉 Step 4: Turn on the Overwrite existing values option so that this time zone replaces the one sent by your directory.

👉 Step 5: Click Save.

⚠️ Important:

  • this option is available for synchronised groups and manual groups, but not for Smart Groups;

  • with the Overwrite existing values option, the group's time zone applies to all its members, even an employee whose directory shows a different time zone. So choose a group whose members all actually work in that time zone.

👍 Good to know: if an employee belongs to several groups, each with a different time zone:

  • A group with the Overwrite existing values option takes priority over a group without it, whatever order they were set up in.

  • Between two groups of the same type (both with Overwrite existing values, or both without), the first time zone applied to the employee is kept. A group joined or set up later does not replace the time zone already in place.

To create a manual group for the employees of a given site, see the article Create an employee group.

❸ Changing the time zone of a single employee

👉 You synchronise Microsoft

Change the user's time zone directly in your Microsoft tenant, then run a new synchronisation from Riot. The new time zone is applied once the synchronisation has finished. Synchronisation is explained in detail in 1️⃣ Sync my employees.

👉 You synchronise Google Workspace, or the time zone must be enforced

Add the employee to a manual group to which you have assigned the right time zone, with the Overwrite existing values option (see ❷).

❹ An employee receives messages at the wrong time: what should you check?

  1. Their time zone in Riot: open their profile in Team and look at the time zone shown.

  2. The tool this time zone comes from: Microsoft, Slack, or none (your workspace's default time zone). See ❶.

  3. Their groups: a group with an enforced time zone (Overwrite existing values option) takes priority over the directory.

  4. The fix: correct the source (Microsoft, Slack profile) then run a new synchronisation, or set the time zone through a group.

If the time zone is still incorrect after a synchronisation, the article 5️⃣ Troubleshooting synchronisation issues details the checks to carry out in your directory.

Key takeaways

  • Riot contacts your employees from 9am to 6pm in their time zone.

  • This time zone comes from Microsoft or Slack. Google Workspace does not send one.

  • If no time zone is sent, your workspace's default time zone applies.

  • To set a time zone for several employees, assign it to a synchronised or manual group with the Overwrite existing values option. This is not possible for a Smart Group.
